The Assistant to the Executive Director supports the effective operations of the Office of the President. Ensures timely compliance to deadlines, facilitates the flow of information to and from the Office of the President, and protects the confidentiality of all information, correspondences and documents.
Job Requirements:
- Bachelor’s / College Degree (any 4-year course).
- Comfortable and competent in communicating with external partners including suppliers, lawyers, technical experts, and government agencies.
- Maintains high level of professional decorum and confidently communicates with executives or other high-ranking partners, officials, and shareholders.
- Proficient in the use of MS Office programs.
Job Responsibilities:
- Communications and Schedules: Facilitates the flow of information to and from the Office of the President, ensuring the correctness/appropriateness of information, timeliness of responses, and protection of confidentiality.
- Resource Management: Maintains the integrity and efficiency of the President’s office by ensuring the timely availability of services and supplies. Handles the timely preparation of Purchase Request, Check Request, Cash Advances, and Checks for the Office of the President and monitoring of the same. Monitors deadlines, ensures timely renewals of relevant permits or licenses, payment of association dues, fees/taxes needed by the President (e.g. vehicle registration, real estate taxes) and for the Projects.
- Documentation: Maintains a suitable record management system for the easy location and reference to letters, proposals, or other communications to and from the Office of the President.
- Special Projects: May be included in corporate projects requiring inter-departmental or cross-functional participation.
